About the Role
This is an exciting opportunity for a dedicated Executive Support Officer to join our dynamic team at Melbourne Dental School (MDS). In this role, you will play a pivotal part in ensuring the efficient functioning of the Head of School’s office and you will actively contribute to the success of the School's operations. In this position you will work closely with a dynamic and supportive operations team who are focused on advancing the School. 

Your responsibilities will include:

  • Provide essential high-level administrative and operational support to the Head of School, ensuring smooth functions of all day-to-day activities.
  • Provide comprehensive executive and administrative assistance, managing diaries, emails, and coordinating meetings and committees effectively.
  • Oversee the School’s governance frameworks with a particular focus on the Committee structures and its practices.
  • Act as the primary contact point for enquiries in relation to complex leadership matters requiring precession, diplomacy, and confidentiality.
  • Build strong working relationships with internal and external stakeholders to enable the School to deliver on its operational and strategic goals, and to maintain successful and positive partnerships.

Who We Are Looking For
You possess excellent communication skills and can effectively engage with a broad range of stakeholders. You're action-oriented, self-motivated, and exhibit strong time management, all while maintaining exceptional attention to detail in independent task execution. 

You will also have:

  • Completion of a tertiary qualification and relevant experience, or a combination of relevant work experience and/or education/training. 
  • Demonstrated knowledge and experience in supporting the coordination and provision of advice and effective frameworks for governance committees.
  • Demonstrated initiative and sound organisational skills with the ability to manage a range of tasks, identify priorities and meet competing deadlines.
  • Demonstrated well developed research, analytical and problem-solving skills, including the ability to identify patterns, process improvements and provide solutions.

This position requires the incumbent to hold a current and valid Working with Children Check to ensure the University provides a safe environment for everyone.

The Melbourne Dental School has a strong tradition in dental research and an established international reputation in several research areas. Research in the School is an integral component of staff and student activities underpinning both the undergraduate and graduate curricula. The major research activities of the school are conducted via three divisions and four major research groups, which range translational biomedical science to clinical studies, pedagogical research. The Head of School joined the University of Melbourne in 2020 and is leading a program of change within the School focusing on strategic reviews of education, research and organisational structure, known as MDS’25.
