Summary: This is a full-time hybrid role for a Customer Service Executive - Sea Export US at Toll Global Forwarding (Vietnam) Co Ltd. located in District 3, HCMC, Vietnam. The role involves providing exceptional providing exceptional customer service to support Toll’s growth and enhance the overall customer experience. By ensuring high levels of customer satisfaction and retention, this position directly contributes to the success of the business.
Job Description:
Read, understand, and use global service contracts (US & Canada) to offer competitive rates and solutions to clients (overseas agents, internal sales).
Manage space allocation effectively to minimize shortfalls for all contract types.
Build strong relationships with customers to understand their needs deeply.
Receive booking details from shippers and provide options to the controlling party/overseas agents for approval and create quick bookings on CW1.
Arrange bookings with carriers/co-loaders as per the controlling party’s instructions.
Release booking confirmations to shippers for cargo export arrangements.
Follow up with shippers to ensure they can export cargo as planned; inform the controlling party of any changes for approval.
Trace shipment routing on carriers’ websites and verify any schedule changes, requesting carriers to protect space as initially scheduled.
Inform concerned parties (document team, overseas agents, shippers, sales, etc.) of schedule changes and update CW1 accordingly.
Upload shipper’s booking request forms, carriers/co-loaders’ booking confirmations, and related documents into CW1.
For shipments under EXW, DDU (DAP), and DDP terms: provide necessary documents to logistics PIC or vendors to ensure timely cargo pickup and customs clearance.
Requirements:
Minimum 2 years in the freight forwarding industry, especially in sea export (US & Canada Trade)
Proficient in English (oral and written); Chinese speaking is aN advantage
Proficient in using Cargo Wise One (CW1) system
High sense of responsibility, excellent coordination, and communication skills
Bachelor's degree in Business Administration or related field
Interpersonal Skills and Customer Satisfaction abilities
Strong communication and problem-solving skills
