The Opportunity:

The role of Ministerial and Parliamentary Officer contributes to the coordination and management of services for the Minister for Indigenous Australians and the National Indigenous Australians Agency (NIAA). Working in the Ministerial and Parliamentary Team, you are part of a well-supported team and see first-hand how your work makes a positive contribution to the NIAA and its stakeholders.
 

The Ministerial and Parliamentary Officer is professional and approachable, providing assistance and services to a range of stakeholders and team members. They make decisions under defined procedural parameters and offer suggestions for improvements to processes within the team or branch. 
 

The Ministerial and Parliamentary Officer is a team player who can work collaboratively and respectfully with other team members.
 

The APS5 role may include some, or all, of the following duties:

• assist with the management of the administration and maintenance of the NIAA’s Parliamentary Document Management System (PDMS) tenant including helpdesk service

•  assist with the management of Ministerial and Executive correspondence

•  engage with stakeholders around the handling of ministerial items

•  assist with the management of time-critical ministerial reporting

•  assist with management of the Question Time briefs process and Parliamentary Questions on Notice

•  assist with the coordination the Agency’s appearance at Senate Estimates hearings and Committee Inquiries

•  assist with the coordination of briefs and information requests for the Minister

•  undertake quality assurance processes for ministerial correspondence and briefs

•  courier duties

• undertake planning and implementation of small scale projects in the team

•  work with team leadership when implementing and consolidating new or changed processes. 
 

In addition to the above, the APS6 role may include some or all of the following duties:

• contribute to a culture that aligns with NIAA values and fosters high performing teams who are dedicated to achieving quality outcomes

• provide leadership and supervision to achieve branch outcomes

• be a supportive and inclusive manager

•  manage stakeholder expectations of the NIAA work program, priorities and program change

•  management of the administration of the NIAA’s Parliamentary Document Management System (PDMS) tenant and associated Helpdesk Services

•  engage with the Minister’s Office and Executive regarding the handling of items

•  management of time critical ministerial and executive reporting

•  coordination of the Agency’s appearance at Senate Estimates hearings and Committee Inquiries

•  other tasks associated with the roles and responsibilities of the Ministerial and Parliamentary team. 
 

Our Ideal Candidate

First and foremost, our ideal candidates will enjoy working as part of a small, fun and dynamic team. Our ideal candidates will have attention to detail, a sound working knowledge of ministerial and parliamentary processes or the capacity to develop these skills quickly. Experience in coordinating ministerial and parliamentary material on PDMS and/or the Digital First System will be considered as highly desirable. 
 

People who enjoy working in a fast-paced environment that has a high degree of visibility within the Minister’s Office and the NIAA will be perfect for these roles. An effective interpersonal style along with drive and first rate judgement will make you an asset to the team. As one of our ideal candidates, you will be able to exercise sound judgement, with the ability to identify matters requiring escalation.

You will be responsive to demands and be able to prioritise work tasks. A baseline security clearance will also be required, or the willingness and ability to obtain one and a driver licence is also desirable. You will have a high degree of visibility and engagement with the Minister’s Office and the NIAA, undertaking work that is complex in nature and provide accurate specialist advice on a range of Ministerial and Parliamentary matters. 
 

You will be required to develop and support a range of complex relationships while anticipating and responding to stakeholder needs and expectations. Our ideal candidates will work under limited direction, exercise sound judgement, with the ability to identify matters requiring escalation. You will be responsive to demands, set priorities and ensure quality outputs for your work and team in a fast-paced deadline driven environment. You will lead by example and work collaboratively as part of a small team. Staff management experience is highly desirable. We are seeking individuals who are professional and passionate about continuously improving processes and expanding the knowledge within the team and across the NIAA to enhance the support provided to the Minister’s Office and the Executive.

Eligibility:

· To be eligible for this position you must be an Australian Citizen.

· The occupant must be able to obtain and maintain a Baseline Vetting (Protected) level security clearance, or hold a current security clearance of an appropriate level. 

· The successful candidate will be required to be assessed through our pre-employment screening checks, such as an Australian Criminal History Check
