About Toll Aviation
Toll Aviation, a division of Toll Government and Defence, is an experienced and trusted provider of crewed and uncrewed specialised operations and training, delivering both standalone and integrated solutions for Government, Defence and the civil sector. With a commitment to safety, efficiency, and excellence, Toll Aviation strives to deliver comprehensive solutions using helicopters, uncrewed aerial systems (UAS) and fixed-wing aircraft, in support of communities in need.
We are currently seeking a highly organised and detail-driven Operations Coordinator to oversee and support daily flight operations of our Fixed Wing fleet. Based at Sydney Olympic Park, this pivotal role ensures seamless operations, flight tracking, crew support, and timely response to any operational disruptions.
Key Responsibilities
Daily Operations:
- Monitor and coordinate Fixed Wing daily flight operations, providing real-time flight following
- Maintain accurate records of crew licensing and compliance
- Manage crew travel and accommodation, both for duty and training requirements
- Maintain and update operational computer systems, including crew rosters and flight data
- Liaise with handling agents, fuel providers, and other external stakeholders to ensure accurate flight coordination
- Track On-Time Performance and report delays with root cause analysis
- Work collaboratively with operations personnel to manage disruptions and implement recovery plans
- Initiate Emergency Response Procedures as required, acting as the initial contact in the event of incidents
Crew Management:
- Oversee and manage published pilot rosters
- Monitor roster coverage and administer pilot extensions in accordance with the FRMS (Fatigue Risk Management System)
Weekend On-Call/Standby Duties:
- Update operational systems with duty times and handle any changes to crew rosters
- Communicate crew changes to relevant stakeholders including the AAV Flight Coordinator and NSWA Aeromedical Control Centre
- Respond to urgent requests, including emergency response coordination and duty extensions
To be successful in the role, you will need:
- Proven experience in aviation operations, flight dispatch, or a similar coordination role
- Strong understanding of aviation regulations, crew rostering, and operational compliance
- Excellent communication and stakeholder management skills
- Ability to remain calm under pressure and make timely decisions in dynamic environments
- Strong administrative and IT skills, with experience using operational flight systems
- Willingness to be on-call for weekend or emergency response duties
