We are looking for a highly experienced executive assistant and administration professional to provide a comprehensive range of administrative, research andbusiness support services to the Director and Management Team, as well as providing leadership to a team of business support staff. You will be a highly organised administrator with attention to detail and superior communication skills who thrives on providing executive level administration support to a fast paced, agile Directorate.
The Executive Assistant – Liveable Communities is responsible for:
- Providing executive level support to the Director - Liveable Communities including negotiating and communicating with internal clients and external customers such as state government, Councillors, major investors as well as community members, and providing a professional first point of contact and accurate and timely follow-up, .
- Providing supervision of the Business Support Coordinator including mentoring and motivating to achieve objectives.
- Applying principles of privacy, discretion, security and confidentiality.
- Investigating and presenting research information and drafting reports and powerpoint presentations.
- Managing the Director’s diary, email and correspondence.
- Organising and co-ordinating meetings with multiple internal and external attendees including members of Council’s Executive, elected Councillors and senior officers from government departments.
- Responsibility for co-ordinating agendas, minute taking and production of minutes for Council committees and external Working Groups.
- Significant organisational and co-ordination skills.
- Extremely well-developed communication skills and the ability to manage difficult, demanding and high profile customers.
- Understanding and ability to manage budgets.
TO BE SUCCESSFUL IN THIS ROLE YOU WILL NEED
- Certificate IV in Business Administration or similar/equivalent experience
- Significant demonstrated experience in high level administration and executive or personal assistant roles
- Highly developed time management skills
- Experience in research and overseeing admin related projects
- Proven people management skills

Salary range: Grade 13 - $79,655.81 - $86,193.78 per annum plus superannuation for a 35 hour work week. Salary may be negotiated based on skills, experience and your value to our organisation.
Flexible working arrangements will be considered by mutual agreement and according to operational requirements.
