A well-known Queensland Government Department is seeking an experienced Executive Support Officer to join their team.
Your new role
- Providing high-level administrative support to the Commissioner, such as managing travel plans and the diary.
- Drafting various types of correspondence, including letters, briefing notes, ministerial submissions, presentations, and reports.
- Diary management and assisting to prioritise workload. Preparing and organising documents to assist with the executive's daily and weekly schedules.
- Arranging and coordinating meetings, forums, and events, which involves booking venues and catering, setting agendas, distributing meeting materials, taking minutes, and handling follow-up tasks.
- Working closely with department staff and a wide range of key stakeholders to facilitate department activities.
- Ensuring smooth office operations by maintaining a full range of administrative, physical, and records management systems and procedures.
- Keeping files and records in line with government standards and mandatory requirements.
- Identifying ways to improve office practices to boost efficiency and effectiveness.
- Providing general administrative support to the department as needed.
What you'll need to succeed
- Previous experience in a similar Executive Support role.
- Strong organisational skills to manage multiple tasks and prioritise effectively.
- Attention to detail is crucial for ensuring accuracy in all correspondence, reports, and records.
- Excellent communication skills, both written and verbal, are essential for interacting with the Commissioner, department staff, and various stakeholders.
- Proficiency with office software like Teams and Microsoft Content Manager is required.
- Adaptability is important for handling flexible start and finish times and unexpected changes or tasks.
- Problem-solving abilities are necessary for identifying and implementing improvements to office practices.
- Professionalism is key for maintaining confidentiality and handling sensitive information appropriately.
- Team collaboration skills are needed to work well with others and support the executive team and department activities.
- Previous experience in a Queensland Government department will be highly regarded.

- Start and finish times are negotiable within the department's operating hours of 6:00am-6:00pm. Please discuss with your manager to ensure these times meet the role requirements.
- Start date of 6th May until 11th August 2025 with possible extension
