Ventia’s Western Harbour Tunnel (WHT) and Sydney Harbour Tunnel (SHT) Asset Management Services require a highly organised and detail-oriented Document Controller to join our team. In this role, you will ensure consistent document management practices across all projects, maintaining rigorous control and traceability from project initiation through to completion.

Key Responsibilities:
- Manage project documentation flow between Transport for NSW and the Ventia SHT+WHT Contract team.
- Develop and maintain document control processes and oversee the Document Management System (DMS).
- Track, distribute, and store all documentation (digital and hard copy) in compliance with standards and version control.
- Distribute latest approved documents and drawings to internal and external stakeholders.
- Perform general document control tasks including scanning, photocopying, and compliance checks.
- Prepare, compile, and issue reports and registers as required.
- Liaise with project teams and stakeholders to ensure consistent document standards and efficient workflows.
- Monitor document reviews and approvals per project timelines.
- Verify documents meet project requirements and are fit for purpose.
- Take and distribute meeting minutes.
About You:
- Document Control Certification preferred; training in Document Management/Quality Systems is a plus.
- Experienced in document control for large, complex projects.
- Proficient in DMS systems, including drawing management, change notices, and budget records.
- Skilled in Microsoft Office; experience with SharePoint and Team Binder preferred.
- Familiar with variation tracking and documentation audits.
- Capable of designing and maintaining document templates and layouts.
- Meticulous and highly skilled in managing stakeholder relationships.
- Background in infrastructure, construction, or specialist contracting is desirable.
- Experience in contract compliance and internal audits.
- Skilled in systems analysis, planning, and process improvement.
