Due to continued growth and expansion across NSW Health, Defence and other critical aviation contracts, The ACE Training Centre part of Toll Aviation is seeking a highly organised and proactive Client Services Assistant to support the delivery of outstanding customer experiences to our internal and external stakeholders.
This is an exciting opportunity to join a dynamic aviation training environment and provide vital support to our Client Services Coordinator and broader training team.
About the Role
The Client Services Assistant will play a key role in ensuring the seamless delivery of services for staff and students attending The ACE Training Centre. You’ll be responsible for a range of administrative, facilities, and logistics support functions, with a strong focus on:
- Day-to-day general administration and client support across ACE facilities
- Support with student and staff experience coordination
- Uniform coordination for all Toll Aviation staff across multiple aviation contracts
- Procurement and purchase order management
This newly created position is part of a strategic restructure to meet the increasing operational and customer demands of the business, with a focus on enhancing service delivery, team sustainability, and employee wellbeing.
Key Responsibilities:
- Coordinate orders, vendor communications, quality checks, and deliveries
- Prepare and dispatch uniform packages to staff across various contracts
- Raise and track purchase orders
- Reconcile invoices and purchase documentation
- Assist instructors with organizing training material
- Manage boardroom bookings and coordinate executive-level visits
- Provide catering and event support for training and meetings
To be successful in this role, you will need:
- A customer-focused mindset with strong interpersonal skills
- Highly organised and able to manage competing priorities in a fast-paced environment
- Previous experience in administration, facilities, or customer service roles
- Strong attention to detail, particularly in procurement and inventory management
- Ability to take initiative and work both independently and collaboratively
- Comfortable with basic finance tasks such as invoice matching and PO tracking
