Contracts Coordinator – Aged Care – Retirement Living
- Up to $95,000 + Super
- Salary packaging up to $15,900 + $2,600 Meal & Entertainment Card
- Part Time role - Mon to Friday 9 am - 2.30 pm
The Opportunity
Join our friendly and welcoming Retirement Living team! As the Contracts Coordinator you will play a pivotal role in supporting the leadership team with administering the centralised contracts management process and contributing to the effective operation of resident entry and exist processes. You will ensure contracts are compliant with legislative requirements, act as a point of contact for enquiries for residents and families and ensure that contractual obligations are met, operational processes are streamlined and that UPA’s values are upheld in every interaction.
You will:
- Oversee contracts administration, ensuring accurate, standardised, and compliant processing of resident entries, exits, documentation, and correspondence.
- Deliver efficient administrative support through prompt enquiry handling, document preparation, data entry, and maintaining confidential, accurate resident records.
- Work collaboratively with Finance and operations to support fee changes, sales processes, banking tasks, reporting, and refund calculations.
- Support Retirement Living teams by maintaining strong communication, assisting with policy and procedure implementation, and organising own workload to meet business objectives.
- Uphold WHS, compliance, and professional development requirements by following safe practices, completing training, and contributing positively to organisational culture.
What you will need
- Post-secondary qualifications in related field or equivalent experience.
- Demonstrated experience in supporting Retirement/Independent Living and/or contracts management.
- Demonstrated ability to meet deadlines and manage priorities.
- Ability to work independently and as part of a team.
- Strong customer service and interpersonal skills with ability to build trusting relationships with customers and stakeholders.
- Strong written and verbal communication skills.
- Proficiency in MS Word, Excel and Outlook.
- Demonstrated ability to complete tasks with accuracy and in a timely manner.
- Excellent numeracy skills with demonstrated ability to complete banking and reconciliations.
- Experience using contract management systems.
